Pools I Managed

Remark:

  • "My manage pool” shows all pools managed by the current user as the administrator.

  • Allocated and unallocated customer data and ratios for the day can be seen directly by hovering your mouse over the chart.

1. List Data

Click on the chart to view the current pool's list data.

Remark:

  • All the customer data in the pool, whether or not there is an account executive, is displayed.

  • Users who already have permission to view/edit customer data in the list can still click to view the details, add customer contact records, and perform other related operations; if you do not have permission to view, clicking on the list data will only prompt "No permission to view the current customer details".

2. Pick up

Remark:

  • If no account executive is assigned, the [Pickup] button will be available under [···]. You can click it to pickup the customer and become the account executive for the respective customer.

  • You can pick up the customers in batches by selecting them and clicking on "Pick up" at the bottom of the page. If any customer is already assigned to an account manager, the error “Only unassigned customers can be picked up" will be displayed, and the pickup will fail.

  • The operation will be recorded in the customer log, log type: "Pick customer".

3. Return to the high seas

Return the customer to the customer pool for other member to pick up

Remark:

  • The administrator can perform the operation [Return to the high seas] for all customers, including those with account executives.

  • Single Return: Using the [Return to the high seas] button, which is displayed under [···]. A dialog box will appear; enter the reason and then click [Confirm] to complete the operation.

  • Batch Return: Tick the customer to be returned and click on the [Return to the high seas] button on the bottom of the page, then fill in the reason for return.

  • When there are customers without account managers among the selected customers, the batch return will prompt “Only return the customers that have been assigned”, and all the selected customers will fail to be returned.

  • The "Account Executive" for the successfully returned customers will be empty.

  • The pickup operation will be recorded in the customer log, log type: “Back customer”.

4. Change the grouping

Select the customer and click [Change the grouping] to transfer them to another pool.

Remark:

  • Administrator can change the grouping operation for all customer data in the pool.

  • If the customer data meets the allocation mechanism in the new group, the account executives will be matched automatically according to the rules.

  • A reminder will pop up on the page when [Change the grouping] is performed. After changing the grouping, the current account executive will be cleared, and changes take effect immediately.

  • The operation will be recorded in the customer log, log type: "".

5. Assign Account Executive

5.1 Appointed Account Executive

Remark:

  • Administrator can change the Account Manager for all customer data in the pool.

  • Select the customer, click [Appointed Account Manager], select the user, and click "Confirm" to update the account executive for the selected customer.

  • Users that can be selected includes the pool's administrator and members.

  • The operation will be recorded in the customer log, log type: "Appoint customers".

5.2 Managed by Account Manager

This tab will display the account manager's name and the number of customers assigned to them.

Remark:

  • Customers who doesn't have account manager assigned will not be displayed here.

  • Select the account manager, click the [Assign to account manager] button to, and then select a new account manager (Range: Administrator and Members of the pool).

  • The operation will be recorded in the customer log, log type: "Appoint customer".

6. Auto distribute all customer

By using the [Auto distribution all customers] button to automatically assign an account executive for all customers, or by going to More > Auto distribution, you can assign an account executive for customers in the pool in batches.

This will only take effect for customers whose "Account Executive" field is empty.

6.1 By Batch

Step 1: Select the respective customer who does not have an Account Executive and click [Auto distribution].

Step 2: Click [Confirm] to continue the distribution.

Remarks:

  • If the selected customer does not meet the rules, their “Account Executive” will remain the same.

  • If the max. no. of customer acquired by a member has been reached, no further customer will be allocated to that member during auto-allocation.

  • The operation will be recorded in the customer log, log type: "Auto distribute".

7. Import

New customers can be imported directly into the pool.

Remark:

  • The pool's import template is the same as the template used for importing from the [Customer Import/Export].

  • When importing customers from the pool, regardless of the data entered in the "Seas group” field, the imported customers will belong to the current pool by default.

  • If the customer's account executive is empty and meets the allocation criteria, the system will automatically assign one for the imported customer.

8. Add

[New Customer] can be created directly in the pool.

Remark:

  • When a new customer is created directly in the pool, the data will belong to the current pool.

  • When creating a new customer, if the account executive is empty and it meets the current pool's allocation mechanism, a account executive will be automatically assigned.

9. Filtering

The list data supports data filtering, searching and querying.

Remark:

  • The conditions of “More filters”, “Search” and “Advanced Search” are the same as those in [Customer List], which can be set in [Fields Setting].

  • Filtering, searching and querying will only display data in the current pool, customer outside this pool will not appear in the search result.

Account executive is distributed based on the set for the current pool.
